Enlisting a Meridian Project Portal share for a folder causes a copy of the contents of the folder (documents and subfolders) to be sent to that share. The folder must be a Meridian Enterprise project folder. Unlike the replicated documents, folders do not have an owner.

Before you begin

You must have the Enlist Vault privilege to enlist shares for folders the same as for documents. If the remote share is a Meridian Project Portal workspace, your current Meridian Enterprise account must also authorize you to use the Meridian Project Portal site. Also consider whether the folder might reference documents that reside in other folders that should also be shared.

Note    Special replication is performed for a Meridian Enterprise document that resides in a shared folder and that has references to other documents that reside outside of the shared folder (for example, standard parts). The child documents will be replicated to the same workspace as the parent document but to paths that are built from the absolute paths of the child documents in the Meridian Enterprise vault. This is done to maintain valid references to the child documents. The paths that are saved in the child drawings are not changed.

For example, if you enlist a Meridian Project Portal folder named:

Rotterdam Plant Project\Project WBS

For Meridian Enterprise folder:

\Project Area\Projects\MOC-2012-001

And the following Meridian Enterprise drawing:

\Project Area\Projects\MOC-2012-001\maindrawing.dwg

References another drawing:

\Library\Parts\reference.dwg

The drawings will be replicated to Meridian Project Portal in the following locations:

Rotterdam Plant Project\Project WBS\maindrawing.dwg
Library\Parts\reference.dwg

Referenced documents that reside outside of shared folders (reference.dwg in the preceding example) can be referenced by other documents that reside in different Meridian Enterprise project folders. However, those project folders must have enlisted folders within the same Meridian Project Portal workspace. Those referenced documents are also replicated to Meridian Project Portal but are read-only. You cannot transfer ownership of them.

Warning    If you enlist a Meridian Project Portal share for a document and it is copied to that share and then later you rename the document in Meridian Enterprise, the copy at the enlisted share is not also renamed. Instead, a copy of the file with the new Meridian Enterprise filename will be attached to the document in Meridian Project Portal. Depending on the amount of time that passes between when the document is renamed and when it is updated in Meridian Project Portal, the two files might contain different content. Regardless, the incorrect attachment must be manually removed in Meridian Project Portal. To avoid this situation, we recommend that documents and folders shared with Meridian Project Portal not be renamed.

To enlist a remote share for a folder:

  1. In Meridian Enterprise PowerUser, select the folder for which you want to enlist a remote share.
  2. Click the Collaboration tab. The Collaboration property page appears.
  3. Click the Edit button in the lower right corner of the window. The property page becomes editable.
  4. Click options or type values using the descriptions in the following table depending on the remote system type that the vault is configured to share folders with.

Workspace

Click Browse to select a folder in the Meridian Project Portal workspace:

  1. In the Workspace list, click the name of the workspace that you want to collaborate with the current folder. The root folders of the workspace appear in the folder tree.
  2. Click the name of a folder in the tree or click Show Subfolders to select a subfolder of one of the root folders.
  3. Click Use the selected folder if it should be the source of the copied documents. Typically, this would be if the Meridian Enterprise project folder is the destination of incoming documents for work by you and the vault folder that you have selected corresponds to a project folder in the Meridian Project Portal workspace.

    Click Create a subfolder if it should be the parent of a new subfolder that will be the destination of the copied documents. Typically, this would be if the Meridian Enterprise project folder is the source of outgoing documents that you want to copy to the Meridian Project Portal folder for work by others and the new folder will act as a corresponding project folder in the Meridian Project Portal workspace.

Enlist Project Portal for new documents

Enlists the same share for new documents that are created in the current folder. However, the enlistments do not remain synchronized between the folder and the documents and must be managed separately. This option does not effect project copies, which always enlist the same shares.

Note    The settings for these options are not replicated to the enlisted shares and must be set at the remote sites.

  1. Click OK to save your changes.The selected shares are enlisted and a copy of the current folder will be sent to them by the next GCF scheduled transfer.

After a remote share has been enlisted for a folder, it remains enlisted for the life of the folder. However, synchronization to Meridian Enterprise from the remote share can be disabled, such as at the end of a project, and resumed, such as at the restart of a project.

To disable folder synchronization:

  1. In Meridian Enterprise PowerUser, select the folder for which you want to disable synchronization.
  2. Click the Collaboration tab. The Collaboration property page appears.
  3. Click the Edit button in the lower right corner of the window. The property page becomes editable.
  4. Click Disable Sync. A confirmation dialog box appears.
  5. Click Yes.
  6. Click OK to save your changes.

To enable folder synchronization:

  1. In Meridian Enterprise PowerUser, select the folder for which you want to disable synchronization.
  2. Click the Collaboration tab. The Collaboration property page appears.
  3. Click the Edit button in the lower right corner of the window. The property page becomes editable.
  4. Click Enable Sync. A confirmation dialog box appears.
  5. Click Yes.
  6. Click OK to save your changes.
